AI Use Policy

Policy Owner: Kelli Doorne-Millott, Founder.

Version 1.1. Effective 4 March 2026. Last reviewed 12 June 2026. Next review 12 June 2027.

1. Purpose

Neesh Agency uses artificial intelligence (AI) tools to support research, analysis, content development and operational efficiency.

AI allows us to explore ideas faster, organise information more effectively, and produce work that is grounded in everything we know about a client rather than starting from scratch each time. However, AI does not replace human judgement. All client work remains the responsibility of Neesh strategists, and all client-facing content is approved by the client before publication.

This policy sets out how AI may be used responsibly within the agency.

2. Guiding Principles

Neesh follows five principles when using AI tools.

Human accountability

All client deliverables are reviewed and approved by a human. AI-generated outputs are never delivered directly to clients without review by the assigned strategist. Client-facing content is then approved by the client before it is published. The client is the expert in their own field, and their sign-off is a required step, not a courtesy.

Client confidentiality

Client information must be protected at all times. Client material may only be entered into approved platforms that meet the safeguards set out in Section 5. Confidential or sensitive data must never be entered into unapproved or free public AI tools.

Transparency

Clients are told how AI is used in their work as a standard part of onboarding. We explain what AI assists with, what remains human, and how their information is protected. We do not present AI-assisted work as entirely human-created.

Quality and accuracy

AI outputs must be checked for accuracy, relevance, and quality before being used in any internal or client-facing work. Technical accuracy in client content is verified by the client at sign-off.

Strategic independence

AI is used to support thinking and efficiency. Strategic judgement, decision making, and accountability remain human responsibilities.

3. Acceptable Uses of AI

AI tools may be used to assist with the following activities.

Research and analysis

  • market research
  • competitor reviews
  • industry analysis
  • idea generation and brainstorming

Content development

  • drafting outlines and first drafts
  • editing and rewriting text
  • generating headline or messaging options
  • structuring articles or reports
  • analysing existing client content to identify gaps and opportunities

Operational support

  • summarising meetings
  • organising notes and documentation
  • drafting internal processes
  • assisting with workflow development

Technical support

  • automation support
  • data analysis assistance
  • coding support where appropriate

All outputs must be reviewed and refined by a human before use.

4. Client Knowledge Bases

Part of how Neesh works is building a structured knowledge base for each client: their positioning, their audience, their voice, their existing content and the insights gathered from our conversations. This is what allows AI-assisted work to be accurate and specific to the client rather than generic.

Client knowledge bases:

  • are held only on approved platforms (see Section 5)
  • are accessible only to the strategist(s) assigned to that client
  • contain only material the client has provided or approved for this use
  • are removed if the client relationship ends, on request or as standard within an agreed period

Clients are informed at onboarding that this is how their material is used.

5. Approved Platforms

Client material may only be entered into AI platforms that have been approved by the Policy Owner. To be approved, a platform must meet all of the following criteria:

  • a paid business or enterprise account, not a free consumer tier
  • contractual or settings-based assurance that client data is not used to train the provider's models
  • appropriate data retention controls
  • access restricted to Neesh team members working on that client

A current list of approved platforms is maintained by the Policy Owner and reviewed alongside this policy.

If a team member or contractor wishes to use a new tool involving client material, it must be approved before use.

6. Prohibited Uses

The following uses of AI are not permitted.

Entering client information into unapproved AI tools

This includes:

  • financial data
  • internal documents
  • strategic plans
  • client lists
  • personal or sensitive information

unless the data is fully anonymised or the platform is approved under Section 5.

Automated client communication

AI tools must not send communications directly to clients without human review.

Fabricated or unverified information

AI-generated facts, statistics, and references must be verified before inclusion in any client deliverable.

Imitating third parties

AI may be used to draft in a client's voice using material the client has provided. It must not be used to imitate the voice, likeness or identity of any third party.

7. Data Protection

When using AI tools, Neesh employees and contractors must:

  • avoid including identifiable client data where possible
  • anonymise information before entering it into AI systems where the platform is not approved
  • follow UK GDPR standards when handling personal or sensitive information
  • use approved platforms whenever client material is involved

Data protection obligations apply regardless of whether work is completed manually or with AI assistance.

8. Intellectual Property

AI-generated content must be reviewed and substantially refined before use.

Neesh remains responsible for ensuring that all deliverables:

  • respect intellectual property rights
  • avoid plagiarism
  • meet professional and ethical standards

AI should assist the work, not replace original thinking.

9. Responsibility for Client Work

Neesh maintains full responsibility for all work delivered to clients.

AI tools may support research, drafting, and internal processes, but final judgement, recommendations, and deliverables remain the responsibility of the assigned strategist. Client-facing content is approved by the client before publication.

10. Policy Review

AI technology continues to evolve rapidly.

This policy will be reviewed at least annually by the Policy Owner to ensure that Neesh continues to use AI tools responsibly, securely, and in line with best practice.
